Fundraising Feature User Manual

This guide explains how supporters become fundraisers, share their personal campaign, and how event organizers monitor fundraising activity. The fundraising module uses the event's existing donation and payment process.

Who can become a fundraiser

  • Participants, Sponsors, Vendors, Customers, eligible Organizers, and newly registered supporters are eligible.
  • The Organizer who owns an event cannot create a personal fundraiser for that same event. An Organizer can become a fundraiser for an event owned by another Organizer.
  • Admin and Super Admin accounts cannot create fundraiser profiles.
  • A supporter can create one fundraiser profile per event and can create another profile for a different event.
  • Anonymous donors are not offered fundraiser registration because a fundraiser requires an authenticated account.

After a successful payment

The Become a Fundraiser option appears only when the payment is successful, event donations are enabled, the payer is not anonymous, and the current account is eligible.

  1. Select Become a Fundraiser on the payment success page, or select the same option on the event details page.
  2. Enter the account email and select Continue. The system checks the email before displaying the next fields.
  3. If the email is registered, enter the existing account password and select Sign In.
  4. If the email is new, complete the supporter registration form and enter a personal fundraising goal.
  5. Create the fundraising page and continue to the personal dashboard.

If the profile already exists for that event, the system opens the existing fundraising dashboard instead of creating a duplicate.

Email-first registration and login

The fundraiser form initially requests only an email address. It then follows the appropriate path without asking the supporter to decide whether the account is new, registered, or an incomplete ticket account.

Existing registered account

When the email belongs to an existing Participant, Sponsor, Vendor, Customer, or Organizer account, the form displays one password field. An Organizer can fundraise for an event owned by another organizer, but cannot fundraise for their own event. Enter the password for the selected account role and select Sign In. After authentication, the supporter returns to the event's fundraiser flow. This prevents a duplicate guest or Participant account from being created for an email that is already registered.

Organizer emails are checked against the selected event. The event owner receives an explanation that they must manage fundraising from their Organizer dashboard and cannot become a fundraiser for their own event. An Organizer who does not own the selected event can sign in and continue as a fundraiser. If one email has multiple roles, the event-owner restriction still applies when any account under that email owns the event.

Incomplete ticket or guest account

A ticket purchase may create a Participant account before its profile and verification are complete. When the entered email matches that pending account, use the temporary password from the **Participant Guest account created** email.

After the credentials are accepted, the system activates the same Participant account and sends fresh secure codes to the account's email address and phone number. Complete email and mobile verification on the OTP screen. The account can then continue through the fundraiser flow without creating another profile.

The temporary password is case-sensitive. Use the show-password control to confirm that it matches the password in the account email.

New supporter account

When no account exists for the email, the form expands to request first name, last name, phone number, password, password confirmation, fundraising goal, and CAPTCHA verification. Registration creates a Participant supporter account, signs the supporter in, and creates the fundraiser profile. An invitation issued to a specific email must be accepted with that same email.

The fundraising goal must be numeric and at least $50. It is a motivational target only and never limits the amount supporters can donate.

Organizer invitations

Organizers can invite supporters from the Fundraising dashboard for one of their own events.

  1. Enter the supporter's name and email to send the invitation by email.
  2. Leave the recipient fields empty when a manual handoff is preferred, then use Copy invitation.
  3. Monitor the invitation status in the invitation history.
  4. Revoke an unused invitation when it should no longer be accepted.

Invitations are secure, time-limited, and event-specific. An accepted, expired, or revoked invitation cannot be reused.

Personal fundraising dashboard

The fundraiser dashboard displays the goal, total raised, donor count, largest donation, average donation, and donation history. Use Copy link to share the secure public fundraising page without displaying internal identifiers.

Progress may exceed 100 percent. Donations remain open after the personal goal is reached while the fundraiser profile and event donations remain active.

Donation attribution

Supporters who open a valid fundraising link see the fundraiser's name and the existing event donation page. The fundraiser is resolved securely from the referral link on the server.

  • Only verified successful payments receive fundraiser credit.
  • Pending, failed, cancelled, and refunded payments are excluded from totals and leaderboards.
  • A missing or invalid referral still allows a normal event donation, but no fundraiser receives credit.
  • Refreshing a success page does not create duplicate credit because payment processing is idempotent.
  • Disabled fundraiser profiles cannot receive new donation credit.

Organizer dashboard

The organizer dashboard is limited to the selected event and its owning organization. It shows summary statistics, campaign status, top fundraiser performance, invitation history, and the event leaderboard.

Select a leaderboard record to open the fundraiser detail page. The detail page includes profile information, progress, statistics, and every successful attributed donation. Organizers can activate or disable profiles only for events they manage.

Emails

The module queues these event-branded notifications:

  • Fundraiser invitation
  • Fundraiser profile created
  • New attributed donation received
  • Fundraising goal achieved

If an invitation email is delayed, confirm that a queue worker for the configured queue connection is running. The invitation remains available to copy from the organizer dashboard when email delivery is unavailable.

Helpful operating tips

  • Set a clear goal and add personal context when sharing the fundraising page.
  • Share only through Copy link so donors start from the validated fundraiser page.
  • Review the donation history before comparing leaderboard results.
  • Disable a campaign that should stop receiving new credit; existing successful donation records remain visible.
  • Never copy browser addresses containing internal administration paths or database identifiers.

Troubleshooting

The Become a Fundraiser option is missing

Confirm that the payment succeeded, donations are enabled for the event, the donation was not anonymous, and the signed-in account is an eligible supporter account.

Registration opens a login page

The entered email already belongs to a registered account. Enter that account's password in the fundraiser form so the fundraising profile is linked to the correct user. If verification is still pending, complete the secure codes on the OTP screen.

The temporary ticket password is not accepted

Confirm that the Participant email and password are copied from the same **Participant Guest account created** email. Passwords are case-sensitive. Use the show-password control to check the entered value. A pending profile is matched to its existing ticket account and should continue to OTP verification instead of creating another account. Use Forgot password from the Participant login page if the emailed password is unavailable.

The OTP screen appears after fundraiser sign-in

This is expected when the ticket account or profile has not completed email and mobile verification. Enter the newly sent email and mobile secure codes. After verification, sign in with the same Participant account and return to the event details page to select Become a Fundraiser.

A donation is not shown on the fundraiser dashboard

Confirm that the donor used the fundraiser page, the referral was still active, and the payment status is successful. Refunded, cancelled, pending, and failed payments are intentionally excluded.

An invitation cannot be accepted

Confirm that it has not expired, been revoked, or already been accepted. Email-specific invitations must be accepted using the invited email address.
